How to Add Headshots to Email Signatures

Directory/Automatic Headshots

Headshots Using Directory Thumbnails

A URL in your signature design will automatically pull an image associated with an employee from your directory. If a headshot is not present, you have the option to collapse the photo placeholder in the signature or fallback to a photo file named "default_photo" in the Opensense image repository

The link pulls images in the following hierarchy -
  • Image bucket: username.png
  • Image bucket: username.jpg
  • Google/O365 Profile Photo
  • Image bucket: default_photo.jpg

Upload Headshots into Opensense

Upload an Individual Headshot

Please prepare your Image Files in the following formats: jpeg, jpg, or png.
  1. Ensure user headshots are named via there username (refer to the highlighted portion of the picture below. File names should be all lowercase letters!
  2. Ensure the default photo that will appear if no headshot is found is named "default_photo"
  3. Once logged in, go to the image bucket by clicking on "Images" under the Marketing dropdown menu
  4. Click on the green "+ ADD NEW IMAGE" button on the top left
  5. In the new box that appears, click the purple "Upload Image" button
  6. Upload the user's headshot image
  7. Once uploaded, Click Save
  8. The headshot will now appear in your image bucket

Bulk Upload Headshots

Please prepare your Image Files in the following formats: jpeg, jpg, or png.
  1. Ensure user headshots are named via there username (refer to the highlighted portion of the picture below. File names should be all lowercase letters!
  2. Ensure the default photo that will appear if no headshot is found is named "default_photo"
  3. To upload multiple headshots at once, click on "SELECT FILES" in the Bulk Upload section in the top left
  4. Once you select the images and upload them, click "Reload Images" to see them in the image bucket
  5. Uploaded images with the specified names will show for the associated email addresses. The default photo will appear if there is an image placeholder, but no user photo to pull in
